Written Procedure to Produce Examination/ Test Papers for LCPS

Introduction: This policy establishes guidelines to produce examination and test papers for formative tests and mock examinations at LCPS. It aims to ensure the quality, fairness, and integrity of assessments while supporting the academic development of students.

  • Purpose: a. The purpose of formative tests and mock examinations is to assess students’ understanding of course material, provide feedback on their progress, and prepare them for summative assessments. b. Examination/test papers for formative tests and mock examinations should align with course objectives, learning outcomes, and instructional materials.
  • Responsibility: a. Faculty members responsible for teaching the course are primarily responsible for the development of examination/test papers. b. Faculty members may collaborate with departmental colleagues or assessment committees to ensure the validity and reliability of assessments. c. The final approval of examination/test papers rests with the relevant department or academic committee.
  • Guidelines for Examination/Test Paper Production: Examination/test papers should cover the content taught during the specified period and assess students’ understanding of key concepts, skills, and competencies. b. Questions should be clear, concise, and free from ambiguity to ensure students’ comprehension and accurate assessment. c. Examination/test papers may include a variety of question types, such as multiple-choice, short-answer, essay, problem-solving, and practical tasks, as appropriate for the subject matter. d. Questions should be balanced in terms of difficulty level, ensuring that they adequately challenge students while also allowing them to demonstrate their knowledge and skills. e. Examination/test papers should adhere to the designated format and layout, including instructions, numbering, and any required headings or sections. f. Where applicable, examination/test papers should incorporate a range of cognitive levels, such as remembering, understanding, applying, analysing, evaluating, and creating, to assess students’ higher orderthinking skills. g. Examination/test papers should be prepared in advance of the assessment date to allow for adequate review and approval processes.
  • Review and Approval Process: a. Examination/test papers must undergo a review process to ensure accuracy, relevance, and appropriateness. b. Faculty members or designated reviewers will scrutinize examination/test papers for content validity, alignment with learning objectives, and adherence to assessment guidelines. c. Any necessary revisions will be made based on feedback received during the review process. d. The final version of the examination/test paper will be approved by the relevant department or academic committee before administration.
  • Security and Confidentiality: a. Examination/test papers must be treated as confidential documents and stored securely to prevent unauthorized access. b. Only authorized personnel, such as faculty members and designated staff, should have access to examination/test papers prior to administration. c. Measures should be in place to safeguard against breaches of security, such as unauthorized duplication or distribution of examination/test papers.
  • Compliance: a. All faculty members, staff, and students involved in the production and administration of examination/test papers must comply with this policy and related procedures. b. Non-compliance may result in disciplinary action.
  • Review and Revision: a. This policy will be reviewed periodically to ensure its effectiveness and relevance. b. Any necessary revisions will be made in consultation with relevant stakeholders.
  • Implementation: a. This policy will be communicated to all faculty members, staff, and students through appropriate channels. b. Training on examination/test paper production procedures will be provided as needed.
